Procurement of Third Party Service Providers

  • GSC Selection: Real-Time Events will manage the procurement of a General Service Contractor (GSC) for your event by issuing RFPs, securing competitive proposals from multiple vendors for the services required, develop price/value comparison grids and recommend the appropriate service provider.
  • Third Party Procurement: Obtain competitive pricing from all third party vendors for additional services, as needed.

Exhibition Management

  • Manage the creation and evolution of the exhibit floor plans with input from event management, the GSC and the host venue.
  • Liaison with 3rd party vendors on all event logistics issues, provide them with sponsor lists as necessary and secure their order forms for inclusion in the Exhibitor Service kits.
  • Manage the development, production and distribution of the Exhibitor Service Kits to sponsors, internal personnel and 3rd party suppliers.
  • Coordinate shipping schedules with all personnel managing exhibition issues, 3rd party vendors and sponsors.
  • Create sponsor registration codes to accommodate the complimentary pass allocations associated with every level of sponsorship in conjunction with the Registration Managers. Convey codes to sponsor contacts.
  • Order signage and banners for the exhibit hall and other conference areas.
  • Review and proof sponsor signage and any printed materials to be mailed or distributed.
  • Act as the main liaison with sponsors, pre-event and onsite.
  • Develop an exhibitor survey in conjunction with event management; Distribute and collect surveys and compile report on results, with recommendations.
  • Manage logistic requirements to assure fulfillment of all sponsorships.
  • Procure all necessary sponsor deliverables.
  • Provide for the conveyance of all sponsor deliverables to appropriate internal personnel and third party suppliers.
  • Generate customized reports as determined by the event managers. Reports typically track exhibitor contract submissions, deliverables received and financial summaries. All reports can be delivered in real-time as current snapshots of activity.
  • Maintain a budget for all areas managed by Real-Time Events; provide budget projections to event management as needed.
